UBS skills that i have learned until 11 July 2012

In UBS i have learn many thing on how to key in accounting informations into system. Here i will show the step from the first until what have learn...The steps are :-

1. We learn on how to create new company :-
                        ~ Company name :  FaizAsifa , DIA
                        ~ Directory           : ASGN 1

2. At UBS interface we login with :- 
                                 ~ User         : Admin
                                 ~ Password : UBS
                                 ~ Date         : 20/6/2012

3. We update our company profile :-
                                   ~ Company Name    : Sunny Electrical Company
                                   ~ Closing Date          : 31/12/2007
                                   ~ Accounting Period : 1/1/2008 - 31/12/2008

4. We add lower chart of account :-
                                                 
go to GENERAL then to GENERAL LEDGER A/C MAINTENANCE.Enter account number,descriptions,account type and special account.
4.1. We can check  by go to GENERAL then go to PRINT CHART OF ACCOUNT



5. After that we add 7 batches :-

go to TRANSACTION - ORGANISE BATCHES - enter batches type and title - SAVE.
We can check by entering TRANSACTION - PRINT BATCH OF TRANSACTION.



6. Enter the transaction :-
               ~ Go to TRANSACTION - FILE MAINTANANCE - enter batch no 5
               ~ We can use QUICK ENTRY
               ~ We can check back by go to PRINT BATCH OF TRANSACTION.

7.We can update our company profile by go to  HOUSEKEEPING - GENERAL SETTING

8. We can clear files by go to HOUSE KEEPING - CLEAR FILES / GENERATE SAMPLE CHART

9.To backup our files go to FILE - BACK UP

10.To add Debtors go to DEBTOR and to add Crediator go to CREDIATOR

Explain about Primary and Support Business Process. Choose a business entity and give examples on each of the Primary and Support Business Process.

The Primary and Support Business Processes are viewed as part of the Business Process because these activities are related to the financial activities of the organization. Business Processes is an inter-related set of tasks that involving data, organizational units, and logical time sequence. Business Processes are always triggered by some economic event, and all have clearly defined starting and ending points.

       For example, the customer order the management process might be triggered by the receipt of the
       customer purchase order, the process might begin with the creation of a sales order, and it might
       end with the collection of the customer's payment on accounts receivable.  

Since most organizations experience similar types of economic events and activities, it is possible to define 9 general groups of basic business processes. These include of the following:


The first 5 of these processes can be classified as primary business processes while the last 4 processes can be classified as support business processes.
  • Primary Business Processes - involve activities that directly add value to the company's products.
  • Support Business Processes - involve the activities that indirectly add value and support the primary processes.
Collectively, the primary and supporting business processes comprise the entire value chain of activities. All in all, the value chain is simply a way of viewing the company's activities in a manner suited to analyzing its competitive advantages. The value chain breaks activities down into components that can be individually optimized in terms of the company's goals and strategies.

Both of the primary and supporting business processes can be further subdivided into many subprocesses. For example, outbound sales logistics can be divided into order entry, credit checking, and so on. 

Subdividing processes is a helpful tool for the systems person and the accountant because it makes it possible to focus on clearly defined, specific areas of the enormous set of the company's activities.

Enterprise Resource Planning ( ERP ) consists of the company-wide integration of business processes. ERP software packages are financially oriented information systems that support and automate business processes. ERP software packages are sold by several companies, including SAP, PeopleSoft, BaaN, and Oracle.



Based on the information above, we have decided to choose Jakel Trading as our chosen business entity.
The following example reasons are as below:

  • Primary Resources
    1. Inbound Sales Logistic - Most of the materials are imported from foreign countries; England, France, Italy, Turkey, Korea, India, and Japan. This is because Jakel Trading only will use the good quality kinds of colors and type of materials.
    2. Outbound Sales Logistic - Jakel Trading sells many types of fabrics such as;
                • Polyester & Washable silk
                • Silk & Cotton 
                • Window decorations & Accessories
                • Bridal Wear
                • Designer fabrics
                • Ready-to-wear Clothing
                • Fabrics for gentlemen
               3.  Operations - They also use the fabrics Malaysian designers concept. Besides, in case of
                                          relating with the other countries, Jakel Trading also plays along with European
                                          designers and promotes the design brands; Pierre Cardin, Valentino,etc.
               4.  Marketing - Jakel Trading do brochures, flyers, promotion ( which give discount price to the
                                         customers), lucky draw ( gifts = motor vehicles and amount of money ), runaway
                                         (Jakel Trading use modelling services for modelling the clothes and fabrics design;
                                         bridal wear, casual wear, traditional wear,etc.)
               5.  Services - Easy payment : Customers can make payment using their credit card, debit card 
                                                              also in cash.
                                   - Jakel Trading has own strategic to arrange and keep their fabrics and clothes which 
                                      is the fabrics will be analysed based on its quality, type, and price for sure. So that, 
                                     the customers will be easy to choose and find their needs.
                                   - Besides, they will prepare many options for customers which is they sell 2000 types 
                                      pattern and colorful of laces.


  • Support Business Processes.
    1. Firm Infrastructure - provides accountant, lawyers & well-administration. Besides, the company's accounting information system include for Jakel Trading.
    2. Organization and Human Resource Management - Jakel Trading recruits and hires employees through the interviews first. After that, they will give training to their new staffs for company's benefits
    3. Technology Development - They do surveys on the quality of fabrics for sales. Website also provided so that people will know more about Jakel Trading and new updates for the fabrics.
    4. Procurement & Purchasing - Company needs : motor vehicles, staff's uniforms, enough inventories and raw materials from the suppliers.

My Ist Blog Post Regarding Accounting Information System (DAC0163) Mini Blogging Project

Yay! at last we've done our Ist Mini Blogging Project. Although it's quite awkward and stringy, at least we still can being cooperate to each other. Actually AIS is a subject that give many benefits to the university students which they got for their additional skills. Besides, well- communicate and counting, an accounting students must be realized that accounting is not just in manual type. All of the accounting software are provided for make the students getting easier to have a wide and good chance to get a job, while the workers that related to account and finance, they can finished their works easily and fast. Moreover, by using accounting system its show us how advance our technology in these days and in these days all accounting working are being recorded by using system by many company nowaday.

Talking about the Accounting Information System (AIS), we can know that there are many types of brand accounting software sold out there. For example, UBS, MYOB ( Mind Your Own Business ) and many more. It depends on the organizations to decide which one is the best for them to use in their own companies.

What is 'Accounting Information System' refer to?

Advantage of Accounting Information System



Speed
The main benefit of information systems in accounting is the speed of processing tasks. Data is entered once and can then be used and reused in compiling reports by literally pressing a button. If a transaction needs correction, it is easily done, with reports generated afterward at speeds never possible with manual accounting systems.

Classification
When data is entered in an accounting system, manual or computerized, an accountant needs to classify it in a detailed fashion. For example, a transaction could be a sales revenue or an interest revenue. Using information systems, this classification process is easily accomplished with a drop-down menu from which you choose the proper category. You can also quickly generate reports involving classifications. With a manual system, this process takes much more time.

Safety
Once data is entered into a computer, it is safe. The chances of losing data are remote, especially when you perform regular system backups. In manual systems, paper pads can be lost or damaged more easily. You can save data on the Internet, where it will not only be accessible anytime you need it but will also still be secure even if your computer is lost or damaged.


Objective

One advantage of accounting information is that it is objective and based on generally accepted accounting principles. These are rules to be followed in accounting to make reports standard and comparable. Data entered in an accounting system is verifiable data, not opinions or wishes. Accounting information is unbiased.


Reliable

Another advantage of accounting information is that it is reliable. For example, when you see $40,000 in accounts payable, you owe that much to others. If you have questions about that, reports can show you how that number was calculated. Numbers do not come out from pies-in-the-sky. To make it to an accounting system, data has to make sense and to have proper documentation to back it up. In a well-run accounting department, reconciliations are made and procedures are in place to assure reliability and accuracy of information.


Analysis Tool

Accounting reports can be analyzed to provide management with financial information that can be used to run a business, plan ahead and to make changes when business is not going as expected. If sales of a certain item are flat and not as expected, accounting reports show this reality and management can make decisions about it--a clear advantage of accounting information.

Disadvantage of Accounting Information System

Cost

Although some small business accounting packages are reasonably priced, the cost of the software is not the only cost of using the software. Accounting software requires minimum standards for computer use in regards to RAM, processor speed and hard drive memory. Making a backup of your accounting data may also require more storage space than an Excel spreadsheet, which is easily copied to a flash drive. Technical support for the software may cost extra, and you can incur annual licensing fees in order to receive upgrades. If you are not skilled in software installation or accounting setup, you may also incur the cost of hiring a consultant to perform those tasks for you.


Difficulty

Some accounting software packages are designed specifically for non-accountants, but you will still experience a learning curve when converting to any software package. If you have never used accounting software before, learning the accounting terms, layouts and determining a proper setup may be more difficult than the benefits received from utilizing the software. Running your own business already comes with enough stress and aggravation. You should not add the stress of learning accounting software to the mix unless it is absolutely necessary or the gains from utilizing the software outweigh the losses.


Time

Processing expenses and invoices in accounting software will usually take more time than simply logging the expense on a ledger pad or spreadsheet software and creating handwritten invoices or spreadsheet-based invoices. If using the computer is not a large part of your daily routine, the time required to process basic daily financial data may outweigh any benefit gained from the software.


Maintenance

Maintaining accounting software not only includes performing upgrades 
to the accounting software package, but also maintaining and upgrading all the necessary equipment to utilize the accounting software as new versions can require upgraded equipment. That equipment often includes your PC or laptop, monitor, printer, Internet connection and modem, backup drive and operating system. If you do not wish to spend the time and money to keep your equipment in compliance with the accounting software, it is best to stick to spreadsheet or ledger accounting.
